ACCESSIBILITY PLAN

In June 2005, the Ontario government took a strong stand on accessibility when it passed the Accessibility for Ontarians with Disabilities Act (AODA) into law. The AODA lays out a comprehensive road map to make Ontario accessible to all people through the development, implementation and enforcement of new, mandatory accessibility standards for some of the most important aspects of people's lives. AODA's goal is to achieve accessibility for persons with disabilities in Ontario by 2025. Discount Car and Truck Rentals (Discount) is committed to be an industry leader by ensuring we meet and exceed the requirements included within the AODA. We are proud we are including all corporate locations across Canada. Our Accessibility Committee reviewed our previous plan and will continue to do so annually to ensure that no new barriers are created and over time all existing ones are removed. Discount intends to build on its achievements by implementing initiatives that support the government's commitment to ensure people of all abilities have a chance to fully achieve their potential. 1. Message from the President
Jay Singer

All public sector organizations are required by law to have an annual accessibility plan and to make it available to the public. We are committed to improving accessibility through identifying, removing and preventing barriers. Over the past several years, we have worked together within our company and our partners to achieve accessibility goals. Going forward we will be proud to update annually our achievements as well as additional or amended goals. Details of this can be found in the pages that follow. We truly appreciate the positive feedback we have received to date and use the contributions and suggestions provided to us by our valued customers and team members to continue to build on our goals. As we look to the future, we are building on the success of our previous plans and continuing to find ways to better meet the needs of all people with disabilities who come into contact with this company, whether they are staff or members of the general public. 2. Report on Goals and Achievements

Accessibility Improvement Initiatives Discount Car and Truck Rentals is proud to announce the successful implementation of its 2014 Accessibility Plan commitments. These achievements are changes that can make a real difference to the lives of those with disabilities. This success also demonstrates our dedication towards identifying, removing and preventing barriers. This section provides a status report of all achievements.


Commitment: Continue to ensure all recruitment and training materials are accessible to all. Status: Complete and ongoing Action:

  • Human Resources team reviewed all current forms and applications based on full cycle hiring (application process, offer letters, job descriptions, forms, training and e-learning).
  • Ensured all forms and learning is available in different formats as well as delivers information in a clear manner.
  • Updated our on-boarding process to provide different options when reviewing available materials.
  • Ensured training materials are representative to include those with disabilities.
  • Gathered input from team members to improve and implemented suggestions after review with executive teams.
  • Ensured that applicants are aware that accommodation is available during the recruitment and employment process through job postings, our careers website and on future printed materials.
  • Include Customer Care in all initiatives.

Commitment: Provide employees with an opportunity to assist in identifying and removing barriers. Status: Complete and ongoing Action:

  • We have an internal training program for our team to assist in the understanding of AODA, understanding disabilities and to identify barriers.
  • Training is posted on our internal site to assist employees with both understanding and to help generate valuable feedback.
  • All new employees in all corporate provinces are required to complete the on line testing and quizzes as part of their first week.
  • After training is completed, employees can provide feedback on accessibility at Discount Car and Truck Rentals on an ongoing basis.
  • Updates are posted on our internal Blog and shared with all employees.
  • As barriers are identified, we address in Human Resources and meet with Customer Care, Facilities and the Executive teams are needed to remove the existing barriers.

Commitment: All Ontario Discount Car and Truck Rentals employees received training on "How to Service Customers with Disabilities". Status: Completed and ongoing for new hires Action:

  • Discount Car and Truck Rentals developed an internal web based training program, which is available in other formats as requested, to provide training which was customized to meet the needs of our customers. It also contains a quiz to ensure training is understood and will be reviewed annually by the Training department for content.
  • In 2015, we revamped all online training materials including online training modules and quizzes. These updates are now accessible to our team members on demand at any time to support their development and to further develop their awareness.
  • We updated our policies and procedures and posted them internally which inform employees of the organization’s policies in support of persons with disabilities. Employees are required to sign for acceptance of these and is reviewed during orientation.
  • In 2012, we made review of our policies and procedures part of our online on boarding system to ensure tracked and completed for all provinces operated corporately.

Commitment: All new Ontario Discount Car and Truck Rentals employees must receive training on "How to Service Customers with Disabilities". Status: Completed for existing employees and ongoing for new hires Action:

  • Discount Car and Truck Rentals developed an internal web based training program, which is available in other formats as requested, to provide training which was customized to meet the needs of our customers.
  • This was a requirement of all newly hired employees in Ontario and was included in their welcome packages and reviewed in orientation for completion.
  • We have expanded to include all corporate locations in Canada.

Commitment: Continue to review language used in existing and proposed documentation for the public to ensure appropriate language is used with respect to people with disabilities. Status: Ongoing Action:

  • Beginning in April, 2011 we began reviewing documents prepared for both the public and for internal use beginning with our Human Resources department resulting in numerous revisions.
  • As documentation or presentations are renewed such as our rental agreements, we will continue to review the wording and phases used to ensure the documents can be accessed by all.

Commitment: Continuously review our Health and Safety evacuation policies and procedures. Status: Ongoing Action:

  • Reviewed our current written plans and determined we have some locations which have physical barriers which may prevent someone with certain physical disabilities from being able to use all exits available.
Timeframe: By 2020, our goal is to ensure all locations are barrier free and all new locations are developed to include accessibility. Back to Top

Commitment: Discount Car and Truck Rentals will continue to consider public input in the identification of barriers in the delivery of our services. Status: Ongoing Action:

  • Discount Car and Truck Rentals has included on our company website a feedback area for our customers and our employees to provide us with valuable feedback in order to continuously improve our plans.
  • All feedback we receive is reviewed daily and collected to develop new policies and procedures and to augment our plans for the future months.
  • Any feedback we receive that is urgent or can be remedied quickly is acted upon immediately.
  • Human Resources meets with our Customer care and Executive teams at least annually to review initiatives and review improvements.

Commitment: Discount Car and Truck Rentals has reviewed and revised our branch designs. Status: Ongoing Action:

  • Identified our counters are not completely accessible to all with physical disabilities.
  • Hired a consultant who provided accessible options.
  • Began with our location at 710 Arrow Road as a test location with new counters and work space to ensure it is accessible to all.
  • We have implemented this new design in several locations such as Kingston, our new Yonge and Steeles location.
  • All new locations are developed to include these new workspaces and our goal is by 2020 all existing locations in Ontario will become barrier free.

Commitment: Discount Car and Truck Rentals will ensure it will consider accessibility in the purchase of goods and services. Status: Ongoing Action:

  • Discount Car and Truck Rentals AODA team leader to provide guidance and support to the Facilities Manager and Executive team during the procurement process of goods and property.
  • All new lease agreements are requesting upgrades prior to occupation including accessibility.

Commitment: Discount Car and Truck Rentals will work with current vendors to communicate our commitment to AODA initiatives. Status: Ongoing Action:

  • Discount Car and Truck Rentals AODA team leader to provide guidance to our sales team to provide a communication to our accounts regarding our commitment to our AODA goals and initiatives.
  • AODA team leader reviews all tenders to ensure all AODA initiatives are included.

Commitment: Discount Car and Truck Rentals focus is to ensure all physical disabilities can be accommodated. Status: Complete and ongoing Action:

  • Discount Car and Truck Rentals is a proud partner of Wheelchair in Motion as regardless of modifications, not all vehicles are completely accessible to those with disabilities.
  • Advertise Wheelchair in Motion as our partner company on our website renting vehicles which include built in ramps to be used independently by those in a wheelchair or scooter.
  • AODA team works with and meets with Customer Care team regularly to ensure we continually update and improve.

Commitment: Ensure ongoing internal communication regarding accessibility. Status: Ongoing Action:

  • Senior management has approved for communications to be issued internally updating our teams in regards to goals accomplished information to assist in the service of those with disabilities to be issued at least quarterly.
  • We have included on our internal Blog to ensure that everyone receives communications and remains aware.

Commitment: Develop and implement a process for the creation of individual accommodation plans and a documented return to work process for employees that have been absent from work due to a disability. Status: Complete and ongoing Action:

  • Human Resources team reviewed existing policies as well as new policies implemented to ensure the above criteria are met.
  • Reviewed all open and new return to work cases to ensure that polices were adhered to.
  • Received feedback from team mewmbers requiring accommodation to see if further improvements to the process could be made.
